Guidelines for Applicants

  Application for Community Grants

Information for Applicants

The Trustees of the Auckland Airport Community Trust have determined that for the calendar year 2011 the
themes for the Trust’s community grants will be

                 a)	literacy with a particular emphasis on projects or programmes which engage families – parents
or caregivers – in their children’s learning, including programmes which enhance the literacy levels of the
adults involved

                 b)	life skills – in particular programmes or projects which build upon the Trust’s ongoing investment
in literacy development – and which build resilience within individuals, families and the community served by
the Trust.

Funding will be available only for projects operating within the Trust’s Area of Benefit. Established providers
not currently operating within the Area of Benefit are encouraged to consider how they might deliver their
programmes in this area with the assistance of funding from the Trust.

Applications for funding for projects and programmes which align with the themes described above close on
March 31 2010. Applicants will be notified of the Trustees’ decision after June 30 2010 and it is expected that
successful programmes will begin operation in the academic year beginning January 2011. Applications
must be made to the Trust on the Application Form.

Completed Application Forms should be mailed to

Auckland Airport Community Trust
PO Box 59-023
Mangere Bridge

All applications will be acknowledged.

Guidelines for Applicants

Please read the following information to determine whether your organisation and/or your proposed
project/programme fits the Trust’s Grants Criteria.

General Principles

1.	Grants in support of literacy or life skills projects/programmes will be made primarily in support of
people who live or work in the Trust’s Area of Benefit.

2.	Grants in support of literacy or life skills projects/programmes must be acceptable to the
community, support community outcomes that are not readily achievable without the Trust’s funding, add
value to the community and demonstrate long-lasting value to the community.

3. Grants in support of literacy or life skills projects/programmes will be managed by a community
group or provider that has an established track record of success and that has organisational competence
and governance strength to undertake the proposed project or programme.

4.	Where appropriate, community organisations will be asked to demonstrate sustainability of future
funding.

5.	Funding may be supplied to a specific project on a multi-year basis subject to the recipient
achieving pre-agreed milestones.

Specific Grants Criteria

Any application for a community grant in support of literacy or life skills projects/programmes must meet the
following criteria:

1.	To make an application for funding before the deadline of March 31 2010 your organisation must
be an incorporated society, charitable trust or otherwise have donee status. The Trust will only make
applications to organisations which have completed registration with the Charities Commission. Note
organisations which otherwise have donee status are exempt from this requirement.
2.	The grant will not attract GST by your organisation. If you are GST registered the grant will not
cover the GST component of any purchase of goods or services. For small community organisations which
are not GST registered the Trust will endeavour to ensure the value of the grant will cover the actual costs
incurred in delivering the programme/project.

3.	The grant may only be applied to the purposes for which it is made.

4.	Any funds not applied to the specific project or programme will be required to be returned to the
Trust.

5.	All grant applicants will be required to supply their latest set of audited annual accounts with the
application. If your organisation’s rules or constitution do not require audited accounts you are required to
send the latest copy of your accounts approved by your governing Board or Committee.

6.	A bank deposit slip must accompany every grant application in order that the grant may be paid by
bank transfer.

7.	A formal resolution from the governing body of your organisation will be required to accompany
the application.

8.	Where appropriate, supplier quotes will need to accompany the application.

9.	If partial funding is sought for programme or project evidence will need to be supplied of how the
remaining funds will be obtained/have already been obtained. Evidence of community support for a project
will be sought where applicable.

10.	Information about the governance structure and contact details for key personnel, including your
chairperson, will be required with each application.

11.	Where appropriate, evidence of community support for the project will be sought through a
commitment of volunteer time or other fund raising.

12.	A description of how the project/programme will specifically benefit the people living and working
in the Area of Benefit will be required with the application.

13.	A detailed description of the programme and where it will take place will be required with the
application along with supporting information where appropriate.

14.	A complete budget for the project/programme will be required with your application.

15.	The Trustees reserve the right to require additional legal or financial information about the project
or programme or about your organisation and/or your contracted provider from third parties.

16.	A detailed timeframe along with key reporting milestones will be required with your application.

17.	If successful, your organisation will be required to produce an Interim Funding Accountability
Report and/or a Final Funding Accountability Report within a negotiated timeframe. The Trust will provide you
with a template for these reports.

18.	Options for appropriate publicity will be discussed with the successful applicants. The Trust will
also publish information about successful grants in its Annual Report.

19.	From time to time the Trust will contract independent evaluations of its own processes and/or
research to assess the impact of the grants it has made. If your application is successful you will be asked
to agree to take part in such future evaluations or research if requested to do so by the Trust.

20.	The Trust will use its best endeavours to protect the privacy of individuals in the publication of any
information about your project/programme.

And finally, the Auckland Airport Community Trust acknowledges that
it has a key duty of accountability to its community stakeholders. Each
year the Trust holds a public meeting at which it reports on its activities
for the year and releases its Annual Report and Financial Statements
for the previous year. All grant recipients are sent an invitation to
attend this meeting. From time to time selected recipients are asked to
make a presentation on their project to the meeting. If you are
successful in your grant application to the Trust we ask you to use your
best endeavours to send a representative to our public meeting.

Application for Hardship Grant - Acoustic Treatment Package Instructions

.

Step One:
Check that you can answer yes for these four questions:

	Have you received an offer from Auckland International Airport Ltd to install an Acoustic
Treatment Package for your property?

	Are you the owner of the property for which Auckland International Airport Ltd has made the offer to
install an Acoustic Treatment Package?

	Do you live at the property for which Auckland International Airport Ltd has offered to install an
Acoustic Treatment Package?

	Are you unable to meet the entire homeowner contribution for an Acoustic Treatment Package for
your home?

If you can answer yes to all these four questions then you can apply for a Hardship Grant. If you cannot
answer yes to all four questions you are not eligible for a Hardship Grant.

If you think you are eligible, continue to Step Two.

Step Two
If you currently receive the Accommodation Supplement from Work and Income please contact Katalina Chan

Hardship Grant Application Form available on the Trust’s website or included in the package of information

OR
If you are not currently receiving the Accommodation Supplement from Work and Income and you believe you
cannot afford to pay the entire homeowner contribution please contact Katalina Chan See at Work and
Income, Manukau on 917 8422. If you meet the Accommodation Supplement criteria, Work and Income will

917 8422 to make an appointment to discuss your circumstances. If you qualify for assistance from Work and
Income, the payment would be made directly to Auckland International Airport Ltd and may or may not cover
your entire homeowner contribution. However, if you provide a letter from Work and Income stating your
position the Trust may consider a Hardship Grant towards the balance.

OR
If you think that you are currently suffering significant financial hardship and you have been declined
assistance from Work and Income, please attach such evidence as you think shows your current financial
position and outlines your current circumstances so that the Trust can properly consider your application.

Note: The actual amount of the Hardship Grant you can apply for can be calculated after you contact Work and
Income. The amount of the Hardship Grant will be based on funds you can contribute from other sources
(e.g. Work and Income, your bank etc).

	Attach your letter from Work and Income and/or other evidence (from Step Two).

                     electricity or water).

Post all of this information to

The Auckland Airport Community Trust will consider your application. If you are successful the Trust will send
you a letter and a Payment Voucher which confirms that the Trust will make a payment towards your
homeowner contribution to Auckland International Airport Ltd for an Acoustic Treatment Package for your
home.

Step Five
When you receive this Payment Voucher from the Trust you must then consider whether you wish to accept
the offer from Auckland International Airport Ltd for an Acoustic Treatment Package for your home.

Step Six
If you wish to accept the offer from Auckland International Airport Ltd follow the instructions in the letter sent to
you by the company.

Step Seven
